How to add the Data Cleaning App for Excel from the Office Store

Download the add-in from the Office Store website, or directly from Excel interface:

  1. Open Excel > Insert tab > In the Add-ins group click ‘Store’ or ‘Office Add-ins’.
  2. Search for XLTools Data Cleaning in the Store > It is free, so just click ‘Add’.
  3. The add-in’s task pane will appear on the sheet. Drag and place it as you wish.

Note: you should be singed in to your Microsoft account to manage products and subscriptions:
File > Account > User Information > Sign in.

How to clean data in Excel and prepare for further analysis

Follow the steps on the app’s pane:

  • Step 1. Click the ‘Select’ button and select the range you want to clean.
  • Step 2. Select the operation:
    • Trim spaces in the beginning and the end of text
    • Remove all excess spaces
    • Remove line breaks in cells
    • Remove non-printing characters
    • Change text case to Proper Case, Sentence case, lower case or UPPER CASE
    • Convert text to numbers, i.e. values stored as text to number format
    • Convert numbers to text, i.e. values stored as numbers to text format
  • Click ‘Apply’ > Done.

Please note: the operation cannot be undone. Any formulas will be overwritten with values.

Does the Data Cleaning Office Add-in work offline

Office Add-ins require Internet connection.

    Hi,

    May I know how I can get XLTools installed on my machine? My company is having issues with installing apps through the MS Store – do you have an alternative download link?

    The XLTool App does not have an option to separate text from numbers. Is there a way around this? Thank you.

      Hello Abigail, what do you mean by “separate text from numbers”? With the Data Cleaning app you can convert text to numbers (i.e. values stored as text to number format) and vice versa. Just select the range, choose the operation you need and click Apply.

        If you have a dataset that is a mix of text and numbers e.g 1645AX, the data cleaning app does not separate the text from the numbers i.e 1645AX to 1645.

          Hi Abigail, yes, indeed. Data Cleaning converts text (actually, numbers, that are stored as text) to true numbers (cell format: number). This is not your case – Data Cleaning does not remove text strings – e.g. AX from the string 1645AX. This would require a different tool, and we are hoping to develop this in the next versions of XLTools. Thanks for the confirmation that it would be useful!
